OK, so you have organised the Presentation / Dinner / Banquet / Incentive Event Factory opening / Timings / Speeches

And now it comes down to the actual event

  • The Marketing Director doesn't want to be consulted on an hourly basis about progress
  • The P. R. Company are on full alert and ready to roll
  • The welcome band is about to “blow”
  • The VIP’s are 3 minutes away
  • Where are you ?
  • Does it matter ?
  • NO !


Because Guy, who was part of the final briefing is up front, to open doors, introduce people using their correct titles, keep an eye on the timings, move people around per the plan and ensure the event goes to schedule.

You can be anywhere, relaxed in the knowledge that the basics are being taken care of, in the right order, at the right time and giving that air of efficiency the chairman and shareholders are used to.

You need to

  • brief the participants
  • move people around
  • move people along
  • brief the audience
  • meet and brief the V.I.Ps (and their chauffeurs)
  • brief yourself on the V.I.Ps titles, correct mode of address etc
  • seat everybody on time
  • seat everybody in the correct place
  • introduce the “Top Table” to the room
  • Manage the photographers / videographers / T.V.
  • Introduce the speakers correctly
  • Introduce the speakers in the right order
  • Introduce the “After Dinner Speaker”
  • Introduce the “Entertainment”
  • Close the event on time
  • Close the event neatly

You cannot be in four places at the same time, and the venue manager has offered to help out but
you can’t find him or her

  • Who is there all the time ?
  • Who has the attention of all in the room ?
